If your samples are perishable or irreplaceable
use a major courier (Fedex is especially good with international
shipments) and ship early in the week.
Customs
Form and Permits
International shipments may require a form declaring
contents and value. The value indicates the amount that WGI is paying
for the samples, which is zero. Declaration of anything other than
a nominal value (e.g. $1) will delay shipment and will cause assessment
of duty and taxes, which will be billed back to customers.
Species listed on CITES Appendix I or Appendix
II will require permits for international shipping. These permits
should be obtained well in advance because they can take as long
as six months to arrive.
Samples that do not require cooling (e.g. hair)
are strongly preferred, and may be the only alternative for species
whose blood or meat samples are controlled due to concerns over
BSE or other diseases.
What we Need With Your Samples
Please provide an electronic file containing
unique identifiers for each sample. Extra data fields can be included
if you want us to check data entry as we process the samples, or
if you want the extra fields to be present in the results file.
We also need written documentation that includes the following:
1) copies of correspondence showing WGI’s willingness to take
on the project and providing estimated turnaround time and pricing
2) a formal request to perform the work in question 3) address and
contact information for invoicing.
Feel free to use your letterhead or our project submission form.
Turnaround time is referenced
to the date on which the last samples and documentation are received
in the lab. Invoices are normally prepared on the day that electronic
copies of results are distributed. We assume that your effort to
pay invoices quickly will reflect our effort to return data in a
timely manner.
Pricing and Turnaround
Pricing for wildlife researches varies with the
number of samples and number of markers in a given analysis. Prices
are also adjusted based on currency exchange rates, our experience
with the markers in question, and probable sample quality. Our lowest
prices are reserved for customers with a track record of well organized
projects and good quality samples. Turnaround time for a typical
midsized project is three months.
How we Treat Your Property
We recognize that the samples which we receive,
as well as the DNA that we extract and data we generate, are the
valuable and confidential property of the person or agency that
submitted those samples. Written permission will be sought before
samples or data are distributed to another party or are used for
a purpose other than that requested by the customer.
We will keep your samples and your extracted
DNA for five years after we complete your project. If you want them
kept longer please ask us to send them back to you. DNA is stored
frozen and samples are stored under conditions appropriate to the
sample type. Electronic copies of results are maintained in permanent
archives on three hard drives in separate locations.
